Dispatch Coordinator
Coastal Livery’s Dispatch Coordinator serves as main point person for inputting incoming transportation reservations by phone, email, and website during their designated shift. He/she is responsible for assigning drivers and vehicles for conveyance of passengers when needed during real time bookings, while providing exceptional customer service to clients. Serving as command central, he/she should maintain scope of entire vehicle fleet (vehicle locations) to make adjustments when needed and shuffle drivers/vehicles to make trips work due to last minute bookings, delays, flight cancellations, etc.
Job Functions
- Schedule and dispatch drivers and livery vehicles to appropriate locations according to customer requests, specifications, or needs, using email, FastTrak, and telephone
- Work from daily driver schedule to plug in open jobs, notify drivers on current shift of who is on dispatch each morning, know where all vehicles are located, review day’s trips, and check incoming flights to prevent delay issues
- Book sedan, SUV, and limousines for airport transfers, weddings, corporate travel, medical appointments, special occasions, etc.
- Relay trip reservations, messages, and information to or from drivers via telephone and internet (FastTrak reservation system) in timely manner
- Monitor driver and vehicle locations and coordinate reservations as they come in, rearranging drivers and vehicles when necessary
- Determine type or number of vehicles and personnel required according to reservation requests
- Ensure accuracy of self-bookings through FastTrak system
- Responsible for ensuring all drivers sign off on their trips in FastTrak system before end of dispatch shift
- Keep customers informed by answering their questions
- Performs other duties and responsibilities as required or requested
